When it comes to Project Management, a lot of tools have been recently developed to aid employees and professionals with their day-to-day tasks. Along with the continuous advancing of the internet world, developers would come-up with so many plugins just to meet with the current demands of the Corporate World not knowing that there is more than just simple planning and tracking of to-dos.

Installing the WP Project Manager Pro Plugin

To start enjoying this plug-in, ensure first that you have either of the following software: WordPress 4.4.1 or later, MySQL 5.6 or later, PHP 5.6 or later versions to be able to upload the WP Project Manager installation file in add new Plugin page. After installation, activate your new tool and enjoy start enjoying the benefits it offers.

Getting Started

WP Project Manager Pro includes different modules for your task management and these can be easily found in your homepage for easy access. Just toggle the button on each module if you want to enable the add-on and toggle it again to turn it off.

Now that you already know the basics of WP Project Manager, you can already start navigating the software.

To start, just go to Project Management pane and add a new category for your project. You can also input a short description about it which will serve as a guide on what the project is all about among your team members or yourself. This is useful if you have a list of multiple projects because you will already know what the project is all about without having to click on it.

Adding Team Members on a Project

Once a new project has been created, you can already start adding different team members involve and assign their role in your team. A notification will be sent to them informing that they are already part of the team. Once members are already added, you can already start collaborating with each other. No need to worry if one of your members cannot be found in the database because you can manually add them by clicking the create new user option that will appear in the user search bar and they will get notified after.

Navigating the Project Management Environment

In the project’s task management environment, an overview of the all the tasks’ status can be seen. These created tasks can be assigned to any of the responsible members of your team thus, monitoring of the tasks assigned to each individual is easier and everyone can see which are pending and which are already completed by each member. There’s also a graph that will show the day-to-day status of all the tasks and to-do lists for a more visually appealing presentation.

Assigning Task lists and Assigning to Team Members

In the activities page, you can find the list of all action items created for the team project. These items are arranged in a chronological order based on the target date for each tasks and everyone can see who among the team members is assigned in accomplishing it. Just like with the real scenario, if a member has already completed the assigned activity, he has to update the dashboard and mark it as done. Once done, it will be reflected in the list displaying the name of the assigned member. The activities are also clickable to check if there are any additional details about it.

To add this feature, you need to create first a task list. The task list will be the most essential part of your project as this is where all updates, discussions and timelines will come from. Inside your project, go to the Task Lists tab and create a new to-do list. You may choose to add description of the task, the start date and when it is due. Here you can add the co-members of the task if needed, share files within the group and even have your own discussion.

Adding a sub task within the main task can also be done by adding the Sub-Task module. You can also add a short description for it and other supporting details for your co-members. Once the main task is clicked, the other sub tasks can also be viewed.

This feature allows a more organized way to manage the tasks to complete the project. In this way, the team members will know at what part of the project they are currently working.

Going Through My Tasks

As a member of the team project, an overview of my assigned tasks can be seen in the My Tasks page. Here you can find all outstanding activities, completed items and current items being done. To have an update at a glance, your activities are also displayed in a chart form for a certain period.

If you are the admin of the Project, you can view the activities of other team members and check on their progress.

Collaborating in WP Project Manager Pro

In WP Project Manager, there is no need to use a separate platform in order to collaborate with your team members regarding the project. It already has a built-in discussion board to exchange comments, updates, consultations and other means of discussion that is very crucial in order to deliver the project on time. To use this feature, select on a project and click the Discussions tab and it will direct you to the discussion panel. Click on the Add New Discussion button and you can already name your discussion and add members of the team who will participate. You can also attach documents, pictures or zip files to aid updates and milestones reporting.

You can also review and check on what discussion boards you are a part of by navigating in the Discussions page and it will be displayed in the discussions list.

Keeping Track of the Team’s Milestones

Another feature of WP Project Manager Pro is the Milestones page. All the completed and late milestones can be viewed by all the members of the team project. This will benefit everyone with their updates and in ensuring that all deliverables are done on time.

Managing Files

Aside from its feature that you can add files inside a discussion board or task list, managing Files for the Project Team can be done in the Files page. Any member of the team can create a folder and upload multiple files at once. A folder can also contain multiple sub folders to easily organize the contents. It can also be set to private if there is a need. Just tick the Make the Files Private box and it will no longer be visible to other members of the team. A member who created the file can also control the accessibility limit of the other members like allowing only specific members to edit the files and the rest will be given viewing access only. Commenting can also be done on each of the file uploaded to ensure that everyone who can view the file will be updated with the changes, update of the file or if there are actions needed after uploading.

To ensure that files are secured in case of unfortunate incidents like accidentally deleting a folder, files uploaded can also be backed up by downloading them to your own computers. It can be done by clicking the Download button and the files will be saved to your computers or drive.

The Interactive Calendar

One top feature of WP Project Manager Pro is the use of its interactive calendar. All tasks created with a start and end date can be viewed here in a bar form. The bar will start from when the task was started and it will stretch up to when it is set to end. Assigned member on each task can be seen on each bar in a photographic presentation. The bars are also color-coded depending on the status of the activities. Blue bars are completed tasks, green bars are ongoing tasks and red tasks are overdue tasks. Light blue bars are milestones for the project. At one glance, everyone will already see the progress of the project and each member’s standing.

The calendar can also be set on a monthly view, weekly view or daily view depending on how you want to see the progress of the team.

It is very interactive unlike other calendars because you can easily drag and drop a task to another date. If an overdue task will be drag to a start date of next week, if will already change color from red to green indicating that it is now an outstanding task.

Generating a Report

WP Project Management Pro enables one to generate a report of the tasks and updates of the project. Report can be generated for overdue, completed and unassigned tasks and even the different milestones set for the project. These can also be generated to an excel file by exporting it to CSV.

With all the advance and interactive features of WP Project Management, creating a project and collaborating with all your team members can now be handled efficiently without the hassle of manual updating and weekly meeting just to report an update making this plugin not only cost efficient, but is also time saving for all users.
